Adding Appointment from Phone Call

OK- so the phone rings and a customer wants to make an appointment.  No problem.

Step 1:

Simply go to your web site and log in to the system.  You can use the same Login form used for customers to register with your site.

Step 2:

Click on the Reception Desk link that appears on your Administration Menu which will appear under your login form after you have logged in.  Don't worry, customers have a different access level to the site so if they login to the site, they will not see appointment management options.

Once you click the Reception Desk link, you will see the following screen.  Click on the Add Booking button.

1. You can view the salon bookings based on day, week and month.

2. You can also refine the display based on stylist to help make a specific stylist request more efficient.

Step 3:

Use the options to select the day requested and click on the time slot associated with the requested stylist.  In the screen shot below, the customer requested Ricardo for March 25, 2010 at 10:00 am.

Click on the check box area as shown with the arrow below.

Step 4:

You'll notice that the requested time is highlighted ina  different color and is no longer available for anyone to book the time slot.

Now enter the customers information.

Step 5:

Based on the selected Stylist (referred to as Resource) the services drop down menu will provide the services the stylist provides.  Select the desired service as requested by the customer.

Step 6:

Click the Book Now button.

You'll get this confirmation message.  This same message is email to the customer AND is sent to the salon email as a back up.

Click the continue button and you will arrive back at the Reception desk screen.  That's it!
